Staff & Faculty Email Signatures

Your email signature is an important part of Independence Community College's brand and helps ensure consistent, professional communication with students, employees, and the community. This page provides step-by-step instructions for downloading and installing your official ICC email signature. Simply select the version of Outlook you use below and follow the instructions. If you need assistance or notice any incorrect information in your signature, please contact the Marketing Department.


How to Upload Your Email Signature

Outlook on the Web (Outlook.office.com)

1. Download your signature

  • Open the OneDrive link provided to you.
  • Locate your email signature.
  • Right-click the image and select Download, or click the three dots (•••) next to the file and select Download.
  • Save the image to your computer.

2. Open your signature settings

  • Sign in to Outlook on the web.
  • Click the Settings (gear) icon in the upper-right corner.
  • Select AccountSignatures (or MailCompose and Reply, depending on your version).

3. Insert your signature

  • Create a new signature or edit your existing one.
  • Click the Insert Picture icon.
  • Select the downloaded image from your computer.
  • Resize the image if needed.

4. Make the image clickable

5. Set as your default

  • Choose the signature for New Messages and Replies/Forwards.
  • Click Save.
  • Send yourself a test email to verify everything looks correct.

Outlook Desktop App (Windows)

1. Download your signature

  • Open the OneDrive link provided to you.
  • Locate your email signature.
  • Right-click the image and select Download, or click the three dots (•••) next to the file and select Download.
  • Save the image to your computer.

2. Open your signature settings

  • Open Outlook.
  • Select FileOptionsMailSignatures.

3. Insert your signature

  • Select your current signature or click New.
  • Place your cursor where you'd like the image.
  • Click the Picture icon and insert the downloaded image.
  • Resize the image if needed.

4. Make the image clickable

  • Click the image.
  • Press Ctrl + K or click the Link icon.
  • Enter https://indycc.edu.
  • Click OK.

5. Set as your default

  • Assign the signature to New Messages and Replies/Forwards.
  • Click OK.
  • Send yourself a test email to verify everything looks correct.

Outlook for Mac

1. Download your signature

  • Open the OneDrive link provided to you.
  • Locate your email signature.
  • Right-click the image and select Download, or click the three dots (•••) next to the file and select Download.
  • Save the image to your computer.

2. Open your signature settings

  • Open Outlook.
  • Select OutlookSettings (or Preferences, depending on your version).
  • Click Signatures.

3. Insert your signature

  • Select your existing signature or click + to create a new one.
  • Drag the downloaded image into the signature editor, or copy and paste the image into the editor.
  • Resize the image if needed.

4. Make the image clickable

  • Highlight or click the image.
  • Select InsertHyperlink (or press ⌘ + K).
  • Enter https://indycc.edu.
  • Click OK.

5. Set as your default

  • Assign the signature to New Messages and Replies/Forwards.
  • Save your changes.
  • Send yourself a test email to verify everything displays correctly.

Please Note: Email signatures do not automatically sync across Outlook platforms. If you create your signature in the Outlook desktop app, it will not appear when sending emails from Outlook on the web, Outlook for Mac, or the Outlook mobile app. If you use more than one platform, you'll need to set up your signature on each one separately.
