Position Announcement

Independence Community College is seeking applications for the position of  Administrative Assistant to the Dean of Student Services.  Independence Community College, a small, rural, residential community college in southeast Kansas, serves approximately 3000 full- and part-time students each year and has initiated continuous quality improvement through the AQIP accreditation process.

Position Summary

The Administrative Assistant works with and supports the Dean and the Division with the day-to-day functions and duties of the Student Services Office with self-confidence and professionalism.  The Administrative Assistant must be able to work with supervision and independently, be an ambassador for the Office, handle confidential information, manage and complete projects, as well as research and compile reports.

Qualifications

The Administrative Assistant should have experience and/or education related to the scope of work and essential functions of the job.  Bachelor’s degree preferred. Associate’s degree required with experience related to the position summary.  Experience in related work may be substituted for degree.  The Administrative Assistant must be detail oriented, highly organized, and possess strong communication skills and possess strong computer skills.

Position Information

This is a full-time, 12-month position with fringe benefits.  Hourly wage is commensurate with education and experience.

Job Description

Administrative Assistant to the Dean of Student Services

The Administrative Assistant to the Dean of Student Services supports the Dean and the Student Services Office in its day-to-day operations and functions.  The position reports to the Dean of Student Services; and works collaboratively, as approved by the Dean, with the offices of Admissions, Financial Aid, Athletics, Registrar, Residential Life, Retention, Upward Bound, and the Pirate Cove Academy Daycare Center.

Primary Responsibilities

1.      Coordinate and take responsibility for traffic-control within the Student Services Office, including phone calls, and walk-in traffic from students, parents, prospective students, faculty, staff, and guests; daily.

2.      Provide clerical and secretarial support for the successful daily operation of the Student Services Offices; daily.

3.      Maintain fiscal records and reports, and mange departmental purchase orders; daily.

4.      Prepare documents using Microsoft Office (Word, Excel, and Outlook), Publisher, and Adobe software; daily.

5.      Provide support through the taking of minutes for various departmental meetings; weekly.

6.      Assist with the computer data entry, including student course enrollment with appropriate approval; weekly.

7.      Maintain adequate inventory of necessary office and paper supplies for the various departments of Student Services, including all admissions forms and other publications for distribution; weekly.

8.      Serve as the liaison for those in the community seeking approval to advertise events and employment opportunities on campus bulletin boards; weekly.

9.      Responsible for the making of student identification cards, daily, and coordinate distribution of student parking stickers, as necessary.

10.  Schedule appointments, as necessary, for admissions, financial aid, the Dean of Student Services, and counseling services.

11.  Use office equipment such as facsimile, photocopier, and scanner; regularly.

12.  Assist with compiling and completing reports; weekly.

13.  Provide research for the Dean of Student Services, as needed, for institutional projects.

14.  Ability to work cross-divisionally, with approval of the Dean, for project, task, and assignment completion.

15.  All other duties as assigned and approved by the Dean.

11.  Ability and/or willingness to research, design, and develop projects.

13.  Requires knowledge to accomplish comprehensive tasks utilizing established policies and procedures.

14.  Requires the ability to apply the principles, practices and methods of a professional or administrative field to recurring projects.
